The International Potato Center (CIP) seeks a dynamic and experienced Administrator under the Project on Viable Sweetpotato Technologies in Africa (VISTA).

The Center: CIP (www.cipotato.org ) is a not-for-profit international agricultural research-for-development organization with a focus on potato, sweetpotato, and Andean roots and tubers. Its vision is of roots and tubers improving the lives of the poor. CIP is dedicated to achieving food security, improved well-being, and gender equity for poor people in root and tuber farming and food systems of the developing world. CIP works with partners to contribute high-quality science, technology, and capacity strengthening for sustainable science-based solutions.

The Project: The overall goal of VISTA Mozambique is to contribute to improved nutrition, food security and incomes of 100,000 smallholder farming families through increased production and better utilization of the biofortified orange-fleshed sweetpotato (OFSP) varieties. The group will include those most at risk of vitamin A deficiency - children under five years of age and pregnant and lactating women. With continued support from USAID / Feed the Future, the project is expanding its current activities to 16 districts in Nampula and Zambezia Provinces for the next 5 years. VISTA is a research and development collaboration between CIP and national and local partners and emphasizes the importance of technical excellence, rigorous evidence base, and capacity development of Mozambican stakeholders.

Location – Nampula Mozambique

Reporting to the Project Manager, and in accordance with CIP HR Policies and Procedures, the Administrator will assume the following duties and responsibilities:

Duties and Responsibilities

  • Provide administrative and management support to the project management team
  • Assist with project communications (appointments, reports, booking meeting rooms / venues and equipment, drafting of correspondence for the Project Manager)
  • Coordinate travel arrangements and logistical support - including the handling of travel requests and liquidations, accommodation, and arranging for meals for the project events
  • Provide support to the project team in the planning and facilitation of training courses
  • Provide support to the project team in planning for events, workshops and meetings
  • Compile presentations, mailing lists and distribution of project publications
  • Maintenance of office filing system (manual and electronic) including backup, archiving and storage
  • Assist in procurement and payment of bills
  • Handling maintenance of office assets and keeping an inventory of equipment and supplies
  • Handling of motor vehicle maintenance, service and supervising the drivers.
  • Liaising with the Grants and Contracts Officer to draw and enforce partner contracts, agreements etc.
  • Ensuring availability of office stationery and sundry.
  • Keep inventory and manage maintenance of office equipment
  • Assisting with the preparation of cash position and bank reconciliations and regular financial reporting
  • Implementation of CIP policies and procedures
  • Assist HR Manager as required and as approved by ROL
  • Any other duties given by the project leader

Requirements:

  • At least a first degree in Business Administration, Commerce, Economics or other related discipline
  • At least CPA section 4 or ACCA level 2
  • A minimum of 5 years of finance and administration experience in a busy environment
  • Experience as an executive assistant desirable
  • Familiarity with grants, contracts and risk analysis
  • Excellent oral and written communication skills, including the ability to write project and financial reports
  • A team player accustomed to working with multi-cultural groups
  • Fluent in spoken and written English
  • Willingness to travel to field sites

  • Conditions: The employment contract will be for a three-year term (with a three-month probation period) with the possibility of renewal, subject to availability of funding. The salary will be very competitive, paid in Meticais, and commensurate with experience.
